How to use the review response generator
- Pick the kind of review. Choose positive, mixed or negative, then the scenario closest to what the customer wrote: a late arrival, a billing complaint, a one-star rating with no text, and so on.
- Add your details. Business name, the reviewer's first name, the service and how you want to sign off. Everything is optional, but each detail makes the reply sound less like a template.
- Copy a reply. You get three versions: friendly, professional and short. Hit Reword for different phrasing, copy the one you like and paste it into the reply box on your Google Business Profile.
Always read the reply once before posting. Add one detail from the review itself, such as the job you did, the neighborhood or the technician's name. That single edit is what makes it sound like you.
How to respond to positive reviews
A reply to a good review has two readers: the customer who wrote it, and everyone who looks at your profile later. Keep it short and specific.
- Thank them by name. Use the first name shown on the review.
- Mention one thing they said. "Glad the new water heater is working out" shows a person read it.
- Keep it in proportion. A two-word review gets a one-line reply. A detailed review deserves two or three sentences.
- Don't sell. No promotions and no keyword lists. It reads as spam, and Google's policies don't allow promotional content in replies.

How to respond to negative reviews
The goal isn't to win the argument. It's to show the next person reading that you take problems seriously and fix them.
- Cool off first. Don't reply angry. Give it a few hours, but not more than a day or two.
- Acknowledge and apologize. "I'm sorry we kept you waiting" costs nothing, and it isn't an admission that everything in the review is true.
- Skip the excuses. Short staffing, traffic and supplier delays are your problem. Explaining them in public reads as blame-shifting.
- Say what happens next. Offer to inspect the work, review the invoice or talk it through.
- Move it offline. Give a direct phone number or email and, if you can, a name to ask for.
- Keep it short. Three or four sentences. Long replies look defensive.
If you solve the problem, it's fine to let the customer know they're welcome to update their review. Don't offer a refund or a discount in exchange for changing or deleting it. Google's policies prohibit that.

A one-star review with no comment
Ratings without text are frustrating because there's nothing to fix. Check your records for the name first. If it's a real customer, reply and call them. If you can't place them, reply anyway:
We're sorry to see this. We'd like to understand what led to this rating so we can address it. Please contact our office directly at (512) 555-0134.
One calm reply is enough. Future customers read a silent one-star rating next to a polite response very differently from one with no response at all.
Fake reviews and reviews meant for another business
It happens: a competitor, a former employee, or someone who mixed you up with a company that has a similar name.
- Reply once, calmly. Say you can't find a matching customer and invite them to contact you. Never call the reviewer a liar.
- Report the review. In your Business Profile, open the three-dot menu next to the review and choose Report review. Google's Reviews Management Tool lets you report reviews and check the status of each report.
- Know what Google removes. Spam, fake engagement, conflicts of interest, off-topic content, hate speech and personal information break the policies. A harsh but real opinion doesn't.

Healthcare, legal and financial practices
If you run a medical, dental, therapy, law or accounting practice, a reply must not reveal that the reviewer was ever your patient or client, even when they said so themselves. For US healthcare providers this is a HIPAA matter, and practices have been fined over review replies that disclosed patient details.
Turn on Healthcare, legal or financial practice in the generator. The replies then stay general: they thank the reviewer or invite them to call the office, without confirming a visit, a treatment or a case. For anything beyond that, check with your compliance contact.
What not to do in a review reply
- Don't argue point by point. You'll look worse even when you're right.
- Don't share private details: addresses, invoices, what was found in the customer's home, medical or legal matters.
- Don't paste the same reply under every review. Rotate wording and add a detail each time.
- Don't stuff keywords. "Thank you for choosing the best emergency plumber in Austin TX" fools nobody.
- Don't offer anything for a changed or removed review.
- Don't ignore the good ones. Customers who took the time to praise you deserve a thank-you too.
Reviews are worth more when there are more of them

Open your Business Profile (search your business name on Google while signed in, or use the Google Maps app), choose Read reviews and select Reply under the review. Your reply is public and appears under the review as a response from the owner. You can edit or delete it later.
Yes, including the short five-star ones. Google's own Business Profile guidance recommends replying to reviews, and future customers read the replies to see how you treat people. Positive reviews need one or two sentences. Negative ones deserve more care.
Wait until you're calm, then follow four steps: thank them or acknowledge the problem, apologize for the experience without making excuses, say what you'll do about it, and give a phone number or email to continue in private. Keep it to three or four sentences. You're writing for the next customer who reads it as much as for the reviewer.
Don't guess what went wrong. Say you're sorry the experience wasn't a good one, and ask them to contact you so you can look into it. If you can't match the name to any customer, say so politely and report the review to Google as well.
You can report it. In your Business Profile, open the review's three-dot menu and choose Report review, or use Google's Reviews Management Tool to report it and track the status. Google removes reviews that break its policies, such as spam, conflicts of interest or off-topic rants. It doesn't remove reviews just because they're negative or you disagree with them. Post a calm reply in the meantime.
Google doesn't publish a list of ranking factors, so nobody can promise a direct boost. What's confirmed is that Google recommends replying to reviews, and that review count and rating feed the prominence factor in local results. Replies mainly work on people: a business that answers its reviews looks more trustworthy, and more of the searchers who see the profile end up calling.
Within a day or two for negative reviews, and within a week for positive ones. A fast, calm reply to a complaint shows the problem is being handled. Turn on review notifications in your Business Profile settings so you don't miss new ones.
